Sharing & Permission Management

Introduce a dedicated “Shared with me” area in the main navigation that gives internal users and guests continuous access to all assets and projects explicitly shared with them. Today, access to shared private items relies on email links or bookmarks, creating uncertainty and friction. This feature ensures that every shared item automatically appears in a centralized list view, remains visible as long as access is active, and disappears immediately when access is revoked. Each item clearly displays: Item name and type (asset or project) Who shared it Date shared Current permission level Access is explicit, item-scoped, and continuously permission-checked. Guests see only shared assets (no projects), while internal users see all shared assets and projects. This feature enables predictable navigation, reduces reliance on email, improves collaboration confidence, and strengthens the auditability and security of shared access.

Enable users to invite external collaborators as Guest users directly from the Share menu of an asset, without leaving the asset context or managing workspace access separately. Users with sufficient permissions (Owner, Admin, or members with Can manage/Can edit on the asset) can enter an email address in the Share menu, assign a permission level (View or Comment, capped at one level below their own), and invite the recipient as a Guest. The invited user is added to the workspace as a Guest (not a full member) and receives access only to the specific asset shared, with no access to Spaces, projects, collections, or Teams. The entire flow is completed within the Share menu and includes: Email validation and existing guest suggestions Default permission set to Can comment Invitation email including asset name and sender Guest visibility in Workspace Settings (with Pending status until accepted) Guest users: Can only access explicitly shared assets Do not inherit permissions Are limited to View or Comment access This feature reduces friction in external collaboration, prevents over-provisioning, and enables faster, safer onboarding of external collaborators.
